Survey List In SharePoint 2010

In this article we will have look on Survey List of SharePoint 2010.

Introduction

What is Survey List?

Survey is a way of getting data or feedback from users of your SharePoint sites. 
Survey List Template of SharePoint 2010 allows you to create and maintain list of questions and define how users can specify their answers.

Survey List allows you to create multiple types of questions and allows you to select the type of answer to that question, such as Single line of text ,Multiple lines of text , Choice ,Rating Scale  , Number  ,Currency  ,Date and Time ,Lookup ,Yes/No , Person or Group ,Page Separator (inserts a page break into your survey) ,External Data ,Managed Metadata.


A SharePoint survey provides Branching Logic features also.

So let’s start with Survey List.
 1) Note: Before Creating Survey List, Create one Custom List as “Course Details” with four Columns Sr.No, Course Number, Course Name, and Audience and add few data items into that list.

 2) Go to your Team site
 3)  Go to “Create page”. Create Page is a central piece of SharePoint sites from where we can add List, Library, Pages, Sub sites into our Current site.
   A) Go to Site Actions and then click on More Options, Create Page will open 
       Or 
   B) Click on “Lists” link available on quick launch and then click on “Create” link.
 
  
 3) After Clicking on Create link here or More Options, “Create” Page would open
   
   
   A) On create page, in filter by section click on List.
   B) Select “Survey” List Template.
   C) Type the name for your Survey List – Here I have typed “Training Feedback”.
   D) Click on Create Button.

 4) Lets start creating questions for this survey, 
   On New Question Page 
      A. In Question: Type “Your Name”.
      B. Type of answer: Select Single line of text.
      Indicates that answer must be in single line, by default it allows maximum 255 Character.
 
 
 
    
   On same page, go to “Additional Question Settings” section

   C. For “Require a response to this question” select Yes (Highlighted in Dark Red). 
   It indicates that while responding to Survey, User must answer this question. If you want to keep this question optional for your user, select No
   D. Click on Next Question.

 

 4) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “Address”.
   B. Type of answer: Select Multiple lines of text.
      Indicates that answer could be in multiple lines, by default it allows 6 lines.

 
   
   On same page, go to “Additional Question Settings” section
 
   C. For “Require a response to this question”, select No (Highlighted in Dark Red). 
      It indicates that while responding to Survey, This question is optional for your user.
   D. For “Specify the type of text allow”: Select Plain text.  Note: we can choose Rich text, Enhanced rich text also as per our requirement.
   E. Click on Next Question.

 

 5) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “Contact No.”
   B. Type of answer: Select Number.
      It indicates that answer would be in Numbers.

 
   
   On same page, go to “Additional Question Settings” section
 
   C. For “Require a response to this question”, Select No. ( Highlighted in Blue Box) 
      It indicates that while responding to Survey, this question is optional for your user.
   D. Click on Next Question.
 
 

 6) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “Start Date Of Course”.
   B. Type of answer : Select Date and Time.
      It indicates that answer would be in Date and Time format.

    
 
   On same page, go to “Additional Question Settings” section
 
   C. For “Require a response to this question”, Select Yes. ( Highlighted in Dark Red Box) 
      It indicates that while responding to Survey, User must answer this question. If you want to keep this question optional for your user, select No.
   D. For Date and Time Format : Keep Date Only.
   E. Click on Next Question.
 
 

 7) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “End Date Of Course”.
   B. Type of answer : Select Date and Time.
      It indicates that answer would be in Date and Time format.

 
   
   On same page, go to “Additional Question Settings” section 

   C. For “Require a response to this question”, Select Yes. ( Highlighted in Dark Red Box) 
      It indicates that while responding to Survey, User must answer this question. If you want to keep this question optional for your user, select No.
   D. For Date and Time Format: Keep Date Only. ( Highlighted in Red Box)
   E. Click on Next Question.

 

 8) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “Name Of Course”.
   B. Type of answer: Select Lookup.
      It indicates that answer would be Lookup. Lookup is used to get data from another list on the same site.

 
      Note: Remember Step 1, we have created one Custom list “Course Details” with Column Name Course Name.
From “Course Details” List, we will get all “Course Name” here. While answering this question, user would select appropriate Course Name from drop down menu.

 

   
      On same page, go to “Additional Question Settings” section
 
   C. For “Require a response to this question”, Select Yes. ( Highlighted in Dark Red Box) 
      It indicates that while responding to Survey, User must answer this question. If you want to keep this question optional for your user, select No.
   D. For Get information from: Select Course Details. ( Highlighted in Red Box)
   Course Details is Name of Our Custom list created in Step 1.
   E. For In This Column: Select Course Name (Highlighted in Blue Box).
   “Course Name” is a Column of “Course Details” created in Step 1.
   F. Click on Next Question.

 
 
 9) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “Pace Of Course”.
   B. Type of answer : Select Choice.
   It indicates that while answering this question user can select answer from choice menu.
 
 

   
   On same page, go to “Additional Question Settings” section
 
   C. For “Require a response to this question”, Select Yes (Highlighted in Dark Red Box).
      It indicates that while responding to Survey, User must answer this question. If you want to keep this question optional for your user, select No.
   D. For Choice, type Too Slow, Too Fast and About Right each on separate line (Highlighted in Red Box).
   E. For Display choices using: select Radio Buttons.
   F. Click on Next Question.

 

 10) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “Course Content”.
   B. Type of answer : Select Choice.
      It indicates that while answering this question user can select answer from choice menu.

 
   
   On same page, go to “Additional Question Settings” section
 
   C. For “Require a response to this question”, Select Yes (Highlighted in Dark Red Box).
      It indicates that while responding to Survey, User must answer this question. If you want to keep this question optional for your user, select No.
   D. For Choice, type Too Simple, Too Complex and About Right each on separate line (Highlighted in Red Box).
   E. For Display choices using: select Radio Buttons (Highlighted in Blue Box).
   F. Click on Next Question.
 
 

 11) On New Question Page, Let’s add another question for this survey
   A. In Question: Type “Instructor”.
   B. Type of answer: select Rating Scale.
      It indicates that while answering this question user can select answer from Rating Scale, like Rating from 1 to 10.

 
   
   On same page, go to “Additional Question Settings” section
 
   C. For “Require a response to this question”, Select Yes (Highlighted in Dark Red Box).
      It indicates that while responding to Survey, User must answer this question. If you want to keep this question optional for your user, select No.
   D. For Sub-question, type Instructor Preparation of the Subject and Instructor’s handling of question each on separate line. ( Highlighted in Red Box)
   E. For Number Range: select 10. ( Highlighted in Blue Box)
   F. Uncheck Show N/A option.(Highlighted in Green Box) 
   G. Finally Click on Finish.

 

 12) Now we can see, Training Feedback Survey List in Surveys section of Quick launch.
  
 

 13) Optional: Now If you want to do any changes in to your Survey List
   A. Select Training Feedback Survey List on quick launch. (Highlighted in Dark Red Box) 
   B. Select Settings and then click on Survey Setting.(Highlighted in Red Box)

 

   On Survey Setting page go to Questions Section

 

  
   C. To add new question to this Survey click on “Add a question” link. (Highlighted in Red Box) 
   D. To change the order of questions click on “Change the order of the questions” link. (Highlighted in Green Box)
   E. To change question string, to Change answer type of question, to apply Additional Question Settings, to apply branching logic or to delete a question, click on that particular question. (Highlighted in Dark Red Box)
   F. To apply permissions to this Survey, on same page i.e. Survey Setting Page. Go to General Settings section and click on “Advanced settings” link.

 14) To respond to this Survey
   A. On SharePoint site, select “Training Feedback” Survey
   B. Click on “Respond to this Survey”
  
 

   C. After clicking on “Respond to this Survey”, questions of this survey would appear.
